Privacy policy

This policy covers what we collect from the closer companies that use Gralivant, and what we collect about the homeowners they call, and why.
It also covers who we share that information with, how long we keep it, and how to reach us about it.
1. Who we are
Gralivant LLC ("Gralivant," "we," "us") runs the pay-per-confirmed-appointment platform at my.gralivant.com. This policy applies to that platform and the pages around it, including this one.
2. Two groups of people
This policy covers two different groups. Closer clients are the companies (and the people at those companies) who sign up for and use the platform. Homeowners are the people your setters call and who a closer client speaks with to confirm an appointment; homeowners do not sign up with us directly.
3. Information we collect from clients
When you create and use an account, we collect account and contact information (name, work email, company name, phone number), information from Google when you sign in that way (name, email address) and, if you connect it, the ability to write appointments to your Google Calendar, payment information handled by our payment provider (we do not receive or store your full card number), and usage information about how you use the platform.
4. Information we collect about homeowners
Through the appointment-booking and confirmation process, we collect a homeowner's name, contact details, address, and appointment details, along with the audio recording and written transcript of the confirmation call.
We collect this on behalf of the closer client the appointment is for, in order to schedule, confirm, and bill for that appointment, and to run the quality checks described in the recording notice.
5. How we use this information
- To run the platform: scheduling, holds, charges, unlocking full appointment details once a hold is captured.
- To communicate with clients by email and by in-app notification. We never text homeowners or clients.
- To review call quality, including the automated review that checks whether a locked detail was requested or shared off script, and to train our own reviewers.
- To prevent fraud and abuse, and to resolve billing disputes.
- To meet our legal and accounting obligations.
6. Who processes data on our behalf
We use other companies to help run the platform. We describe them here by what they do, not by name, because those vendors can change. Each one only receives what it needs to do its job, and each one is bound to protect it.
- Cloud hosting and infrastructure providers, who store and run the platform.
- A payment processing provider, who runs the hosted checkout and handles card details; we do not receive or store full card numbers.
- Google, for account sign-in and, if you connect it, writing confirmed appointments to your calendar.
- An email delivery provider, for the notifications described above.
- A telephony and call-transcription provider, who connects confirmation calls and turns the recording into a transcript.
- Workflow-automation tooling that moves data between the systems above on our behalf.
8. How long we keep information
How long we keep information depends on the kind of record:
- Call recordings: 90 days from the start of the recording, then deleted.
- Call transcripts: 12 calendar months from the start of the recording, then deleted.
- Declining or releasing an appointment does not automatically delete its records. We retain appointment and related account records for service administration, billing disputes, fraud prevention, and legal obligations. You may contact support@gralivant.com to request access, correction, or deletion, subject to applicable legal requirements.
- Client account and billing records are retained for account administration, payment reconciliation, disputes, fraud prevention, and legal obligations. 9. Security
We use reasonable technical and organizational safeguards to protect the information described here, including never sending full card numbers to our own systems and keeping unpaid appointment details out of the client's browser until a hold is captured.
10. Your rights and how to ask
You can ask us to access, correct, or delete the personal information we hold about you, or ask how we use it, by emailing support@gralivant.com. We will ask enough questions to confirm it is really you (or someone you have authorized) before we act on the request.
11. Texas residents' rights
If you are a Texas resident, the Texas Data Privacy and Security Act gives you additional rights over your personal data, generally including the right to confirm whether we are processing your data, to access it, to correct inaccuracies, to have it deleted, to get a portable copy, and to opt out of certain sale, targeted advertising, or profiling uses.
To exercise these rights, email support@gralivant.com. If we decline a request, you may appeal by replying to our decision. We will provide a written decision and reasons within 60 days after receiving your appeal. If we deny the appeal, we will provide the online mechanism for submitting a complaint to the Texas Attorney General. You will not be charged a different price or given worse service for exercising these rights.
12. Children
Gralivant is a business tool for solar closer companies and is not directed to children. We do not knowingly collect personal information from anyone under 18 through the platform. If you believe a child's information reached us, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. If we make a material change, we will update the date at the top of this page. Continuing to use the platform after a change means you accept it.
